To request an entry into the meet, please submit a completed Entry Request Form (including your e-mail address) with a refundable $100.00 deposit by either:

September 1, 2012 : Priority Entry Request

or

October 1, 2012 : Final Entry Request Due

Session assignments and additional information will be e-mailed to you, after full payment and a completed electronic registration file is received.

Overview of the Registration Process


The main steps in the registration process are:

1.  Submit an Entry Request Form via the U.S. Postal Service along with a $100 deposit check.

 

2.  Receive an e-mail with your club's registration status (accepted or waitlisted) and a personalized Chicago Style Excel Registration File.  (Your registration status and registration file may be sent as two separate e-mails.)

 

3a.  Enter your club's, gymnasts' and coaches' information into your club's personalized Chicago Style Excel Registration File, and return the completed file to us via e-mail.

 

3b.  Print the "Payment Due" page from your completed Excel file and mail it to us along with a check for the the balance of your entry fees.  (Note that your registration is not complete until we have received both your completed Excel file and your full payment check.)

 

4.  Receive an e-mail with your registration confirmation, which will include your session schedule, a confirmation of the numbers of gymnasts and teams that you have entered for each level, and a confirmation of your payment status.  (Scheduling and sending registration confirmations will be done in the order that each club's registration is completed.)

 

The Entry Request Form is used to let us know how many entries you would like to request for each level.  We recognize the numbers for each level are estimates, because the fall and late summer is when many clubs are trying to finalize the level at which each of their gymnasts will be competing for the upcoming season.  We just ask that you provide your best estimate (within one or two gymnasts for each level, if at all possible).  When you submit your completed Chicago Style Excel Registration File, you will be able to give us the levels for each of your gymnasts and we will be able to confirm your completed entry as long as the numbers for each level are close to what you originally submitted on your Entry Request Form.

 

You can submit your Entry Request Form and deposit check at any time, but we would prefer you wait until August so that nothing gets misplaced over the summer.  All entries received by the September 1st Priority Entry Request Date will be treated equally, so there is no advantage to sending your request earlier than August.  If we have reached the meet's entry capacity with Entry Requests received by September 1st, we will randomly accept clubs whose requests have been received by that date.  The remaining clubs will be randomly assigned to a position on a waitlist.

 

Entry requests received from September 2nd through October 1st will be accepted in the order that the Entry Request Forms with deposit checks are received, if space is still available for the mix of levels requested.  If we do not have space available to accomodate the mix of levels requested when we receive a club's form and check, those clubs will be added to a waitlist the order that the Entry Request Forms with deposit checks are received.

 

Your $100 deposit is fully refundable up until December 31st.  If you need to scratch any of your gymnasts or teams after you have paid the full entry fees for your club, you may request a refund up until the December 31st Refund Request Deadline.  As long as your request is received by this Refund Request Deadline we will refund the entry fees that have been paid, and we do not require any reason or documentation for your scratches.  If you need to scratch any of your gymnasts or teams after the Refund Request Deadline, we appreciate notification of your scratches but we do not offer any refunds no matter what the reason.
